A practical guide to selecting merch for a B2B event

Back to blog

When planning a B2B event, merch isn’t just “free stuff.” It’s an extension of your brand and a shortcut to more conversations, better post-event memory, and a stronger experience for attendees. At PromoX, you’ll find promotional items with your logo that can be customized to your company’s profile – and there are also green alternatives if you want to go that route.

Are you going to a trade show, conference or customer event?

Here's a simple guide to choosing merch that will actually be used - from keyrings and badges to water bottles, tote bags and office favorites.

Step 1. Start with the purpose

Ask yourself: What should merch do for us on the day and afterwards? For B2B, there are typically three purposes:

  1. Create a natural opportunity for dialogue at the booth
  2. Provide something that lives on in the office (so your brand is seen again)
  3. Reward the “right” leads (booked meetings, demos, VIP guests) with something that feels more exclusive.

Step 2. Select products

Go for a “basic thing” for everyone, plus something that helps with the event itself, and possibly a small “icebreaker”.

Practical B2B choices are, for example, notebook med logo and pen med logo (conference/workshop),

drink bottle/thermos mug (will be used for a long time), and mulepoze med trp/gymna bag med trp (perfect for trade shows, because people have to carry materials).

If the event has badges/check-in, keyhangers med logo and badges med trp provide extra value because it feels like part of the experience - not just a giveaway.

As an icebreaker, you can choose something easy to hand out, such as candy with logo or earplugs with print (especially if there is noise in halls or evening events).

Step 3. Make a plan

Create a simple plan for distribution, quantities and “premium” for the right leads.

Divide merch into levels so you don’t spend budget on the wrong people. One level for everyone (cheap, high volume), one level for warm leads (slightly higher value), and possibly a VIP level for booked meetings/demos (significantly more exclusive). Keep the print clean and discreet so people want to use it afterwards, and consider a QR code for booking/landing page on selected products.

Finally: check the practicality early on (delivery time, print placement, and how easy it is to have on the stand) – this is often what determines whether the merch will be a success on the day.
